We are looking for a fun-loving yet responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include prioritizing the CEO’s objectives for the day/week/month, providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. 

Our company is seeking an Administrative Assistant to manage the office, supervise staff and handle duties for upper management. We are looking for an individual who is efficient and comfortable being a member of a team. The ability to multi-task, while maintaining complex schedules, moving deadlines and managing administrative support, is essential in this position. The ideal candidate for this job is resourceful, a good problem solver and organized. Assuring a steady completion of workload in a timely manner is key to success in this position.

Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.


  • Arrange & connect conference calls
  • Develop and maintain a filing system
  • Organize and schedule appointments
  • Plan meetings and take note of action items
  • Distribute mail and direct as needed
  • Assist in the preparation of regularly scheduled reports
  • Update and maintain office policies and procedures
  • Order office supplies and research new deals and suppliers
  • Maintain contact lists
  • Prepping inventory purchase orders for the Buyer 
  • Ability to analyze and revise operating practices to improve efficiency
  • Coordinates and maintains records for staff, phones, and office keys
  • Mailing/ printing regular bills that cannot be paid virtually
  • Act as the point of contact for internal and external clients


  • Proven experience as an administrative assistant, virtual assistant or office admin assistant
  • Knowledge of office management systems and procedures
  • Must be Tech Savvy
  • Clear & concise communication skills both written and verbal
  • Working knowledge of office equipment (ie: printers, internet, computers, etc)
  • Proficiency in Google (sheets, docs, drop box, drive, etc.)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Strong organizational skills with the ability to multi-task
  • High School degree; some college coursework completed
