Executive Assistant to the CFO and Finance Staff – Philadelphia PA Area

Our client in Philadelphia is seeking a qualified candidate to join their team as an Executive Assistant to the CFO of the company. The qualified candidate will have previous experience as an Executive Assistant and experience working with Financial staff would be a plus!

GENERAL DESCRIPTION OF DUTIES ARE:

The Executive Assistant to the CFO and Finance Staff is responsible to perform administrative and support activities to the CFO (primarily) and Finance Staff (indirectly) to allow them the ability to better perform their job-related responsibilities.

These activities include, but are not limited to written correspondence, scheduling, business meeting preparation, oversight of certain financial administrative processes, telephone communication, and other activities that contribute to the smooth and well-organized operations of the finance division of the Agency. Incumbent will be handling confidential information and must respect its confidential nature.

Incumbent should possess at least 10 years of experience, preferably in a financial, processing, or service company.

Bachelors or Associate Degree is preferred and strong written and oral communication skills and strong customer service skills are required to interact with Agency executive staff, Agency board members, outside professional bankers, accountants, government officials, funders, as well as Agency staff. Incumbent will require good problem solving, attention to detail, and ability to manage various projects.  Finally, the position requires a high level of computer skills, especially MS Word, Excel, and PowerPoint.

Incumbent Reports to: Chief Financial Officer directly but will work closely with the Controller and Director of Financial Analysis and their respective teams.

DUTIES AND RESPONSIBILITIES INCLUDE BUT MAY NOT BE LIMITED TO:

  • Responsible for meeting preparation (notices, participation, minute taking, etc.)
  • CFO Schedule coordination and follow up
  • Telephone answering, messaging
  • Meeting preparation; taking, transcribing and distributing minutes
  • Monitoring action items, and ensuring team follow-through on assignments
  • Backup other administrative responsibilities of the finance team
  • Handle general correspondence/special reports/research
  • Mail handling and distribution
  • Document preparation and transmission (scan, fax, etc.)
  • Conduct special projects as assigned by and for the CFO
